How to Source Products from Alibaba for Amazon FBA UK
Alibaba is where most UK private label products begin — and where most first-time sourcing mistakes happen. Done well, it's a reliable pipeline of manufacturer-direct pricing. Done badly, it's misgraded products, surprise fees and stock Amazon won't accept. Here's the process we use.
Understand Who You're Talking To
Alibaba listings come from factories and from trading companies. Factories offer better pricing and direct quality control; trading companies offer wider catalogues and sometimes easier communication, at a margin. Neither is automatically wrong, but you should know which you're dealing with — ask directly, and check whether their product range is focused (factory-like) or suspiciously broad (trader-like).
Filter Before You Contact
Minimum bar: Verified Supplier status, several years on the platform, and meaningful transaction history. Prefer suppliers whose main products match yours — a bag factory that also lists kitchenware is a trader. Review scores matter less than review substance: look for repeat buyers and comments about consistency across orders.
First Contact: The RFQ That Gets Taken Seriously
Message 5–10 shortlisted suppliers with a specific, professional enquiry: product spec, target quantity, your customisation needs (logo, packaging, improvements), and a request for FOB pricing at 2–3 quantity tiers. Vague enquiries get vague, padded answers. Specific ones signal you're a real buyer and produce comparable quotes. Expect minimum order quantities (MOQs) of 300–1,000 units for customised goods; MOQs are usually negotiable, especially on a first trial order.
Samples Are Non-Negotiable
Order samples from your top two or three suppliers — costs typically £30–£100 including courier, often refundable against a future order. Evaluate build quality, materials, packaging survival, and consistency between suppliers. Test the actual use case hard. If a supplier resists sending samples, that is your answer about them.
Negotiate Terms, Not Just Price
Grinding the unit price down 5% matters less than: payment terms (30% deposit / 70% after inspection is standard — avoid 100% upfront), production lead time in writing, defect allowance and remedy, and who pays for what at the port (understand FOB vs EXW vs DDP quotes — FOB, where the supplier delivers to their port, is the usual choice). Always transact through Alibaba Trade Assurance, which gives you documented recourse if the order doesn't match the agreed spec.
Inspect Before You Pay the Balance
For any order above trivial value, commission a third-party pre-shipment inspection (£150–£250 from firms like QIMA or V-Trust). They check quantity, workmanship, function and packaging against your spec while the goods are still in the factory — which is the only time you have leverage. Skipping inspection to save £200 on a £4,000 order is the classic false economy.
Prepare for Amazon FBA Requirements
Your supplier can usually apply FNSKU barcodes, suffocation warnings and carton labels at the factory — send them Amazon's requirements and your label files (our packaging design service delivers print-ready artwork with barcode placement handled). Confirm carton weight and dimension limits for Amazon UK fulfilment centres before production, not after.
Shipping to Amazon UK
Three routes: courier (DHL/UPS — fast, expensive, fine for small trial orders), air freight (1–2 weeks, mid-cost), and sea freight (4–6+ weeks port-to-door, cheapest at volume). For sea shipments use a freight forwarder who handles customs clearance, UK import VAT and duty, and delivery into Amazon — for a first-timer, a good forwarder is worth every penny.
